A step by step process to bring Encounter to your community

This is a short video for you, and whoever is approving Encounter, to watch so you can get an idea of what it looks like to bring the Encounter Tour to your community.

Below is a list of expectations that we have if you were to agree to host our team. If the prospect of hosting us seems too large for your community to handle, that’s ok! We would love to talk with you and discuss other options on how we can partner with your community.

General Expectations

Housing

  • We ask that you house our team. Please provide appropriate sleeping arrangements in the best way you can. Host homes are the most frequent and best option for our team; it provides relationship and a comfortable place for the team to rest for the next day! If you aren’t able to find host homes, sleeping at your community facility works as well.

  • We will be traveling with 2 families one with 4 children and the other with 2 children. We ask that you would be so kind as to provide a hotel room for our family. The specifics of the room are ultimately up to you, but what is done most frequently is a room with 2 queen-sized beds. If you cannot book a hotel room for the families, we ask that you could at least give provision for us to book our own.

Meals

  • Please provide dinner on the night that we arrive. We ask that you would also provide breakfast and a packed lunch for our team the next day. This can be accomplished at the host homes or at your community center - whichever is easiest for you. We also ask that the meals would be nutritional - you can imagine how much fast food we eat on the road! A home-cooked meal goes a long way for our team!

Promote the event

  • We have curated and created content for you to be able to promote this event. We ask that you follow the instructions given so that you can share clearly with your community about this event, in order that the most people are able to be impacted by the story of God.

Hour and a half performance and ministry time.

  • Our show takes an hour and a half from start to finish. This includes a short introduction, the Encounter production, ministry time, and worship at the end. Depending on time constraints we may be able to shorten the performance if needed.

A love offering

  • We offer Encounter as a free performance. Countless hours and dollars have been spent refining this performance - all in faith that God will provide a way for it to reach the nations! We ask that you would be willing to give a love offering to our team at the end of the night so that we can keep doing what we are doing!

Follow up with new believers

  • We are expectant for hundreds of people to commit their lives to Jesus throughout our tour, and we need your help to follow up with the people who did so in your community. We will walk you through this process leading up to us coming and will continue to help in any way we can after we leave.

Facility Space

Performance space specs

  • Our ideal stage dimensions are 40 feet wide, 20 feet high and 25 feet deep, however, our set is modular and can be altered to fit most spaces. If your facility cannot meet these requirements, please connect with us and we can find a solution together.

Power

  • For all of our audio, video, and lighting we require 10 dedicated

    15 amp circuits.

Storage for gear

  • We ask that you would have ready a space for us to store our empty cases and equipment. We travel with enough gear to fill a 20 foot box truck. We understand some hosts may not be able to do this - and in this case we will store our equipment in our truck. 

Room for our personal belongings

  • We ask that you provide a room for our team’s personal belongings. 

Clear the stage

  • We will be traveling fully equipped to set up and perform our entire show. This includes an entire sound and lighting system. We ask that you would kindly clear your stage or the area that we will be performing in so we can set up in a timely manner.

Helpful meals to accommodate a large group and accommodate allergies:

  • Tacos/burritos with ground beef

  • BBQ pulled pork, potatoes, veggies

  • Pasta dinners with meat sauce/toppings on the side & gluten free pasta

  • Sandwiches, gluten free bread and dairy free cheese as an option

  • Chili or soups 

**It’s helpful when meals have sides/options ie. sauces on the side, cheese on the side, vegetables on the side, so people with sensitivities can still eat a majority of the meal
